We build our metadata files from a perl script that pulls data from
a mySQL database, for several different collections. We've got a
backend webapp that populates the database and a set of perl scripts
that extract the metadata and files for building Greenstone. Since
our "Digital Library" changes daily, this process runs every night.

It may be too much for your situation, but if you've got a Linux
environment and some knowledge of perl, it's not too difficult.
